The academic programme is fully accessible in-person and from distance. All presentations will be given live, either in Uppsala or through a video connection. Below we include information for accepted authors and presenters regarding practicalities for in-person and virtual presentation, as well as the conference proceedings.
Time of presentations and recording
If your contribution is a short paper, you will have 10 minutes to present, followed by a 5 minutes Q&A. Long papers have 20 minutes to present and 10 minutes Q&A.
All presentations are live streamed within the conference platform and recorded. The videos of all presentations will remain available on the platform for two weeks. The conference platform is only accessible for registered participants. If you do not want your presentation to be available in this way, please let us know by replying to this email.
Hybrid sessions
You will receive your account information to log into the conference platform AppinConf/Invajo (hereafter, Invajo) on Monday 14 March. Most panels include both physical and virtual presentations. We are confident and excited to make this a good hybrid experience for everyone. Still, be prepared that it will be a little less smooth then a fully online or fully in-person conference.
All chairs, also for fully virtual panels, will be present on-site. All questions will be posed through the chat function on the conference platform. A technical moderator will read these out loud during the Q&A and authors can answer verbally. If questions have been left unanswered, authors can answer in the chat after the session ends.
Information for presenting authors joining in-person
To make the hybrid sessions run smoothly, presenters cannot use their own computers when presenting. Instead, all in-person presenters need to bring their presentation on a USB stick to the panel. Slides can be in either PowerPoint or PDF format.
Please arrive at least 15 minutes in advance in the room you are presenting in to meet the other panelists, chair and technical moderator. The technical moderator will install your presentation and check that everything works before the panel starts.
Also make sure to check out the conference platform, even though you are presenting and participating in person. People can ask you questions and contact you there.
Information for presenting authors joining virtually
Once you have received your log-in information on Monday, please check in the conference platform that the correct author(s) is/are listed as ‘speaker’. Only those will be able to join the session as presenter. Send us an email if someone is missing.
How to join as a virtual presenter
- Make sure to log-in 15 minutes before your session starts.
- When you log-in into the invajo platform, and you are registered as presenting author, please go to the session in which you will present. You can find your session in the program here, or in Invajo’s schedule.
- There will be a button that says ‘join as presenter’, which leads you to a special Zoom-link for that session. You will be able to join as if you are in a regular Zoom call, which means you can share your screen to show your presentation slides. Instructions on how to join the Zoom room are also visible in your respective session.
- In order to see the chat with Q&A you have to keep an eye on the conference platform, the chat on Zoom will not be visible for participants.
- Please leave the Zoom room once your session has ended, the rooms will be reused for other sessions.
Please note:
- All times in the program are CET
- Your shared screen and your camera feed will be shared on the platform and in the physical conference room during your presentation. We ask you to please turn on your camera when you present and during Q&A.
- The camera in the physical conference room will show the stage, not the audience. That allows all virtual participants and attendees to see the in-person presenters during their presentations as well.
Poster slam session (18 March, 14:00)
The last hybrid session of the conference is the poster slam session. We have a packed session where all posters are (really) briefly presented: 18 posters presentations, each have 2 minutes to present. After four or five presentations respectively, there will be a short Q&A for live questions. Please be present/log-in 15 minutes in advance so the chair, Matti La Mela, can give the final instructions and inform you of the order of presenting.
Matti will control the presentation slides during the poster slam. Each poster will have 1 slide. If you have not sent in a slide already, please send your 1 PowerPoint or PDF slide to the chair (matti.lamela@abm.uu.se) by Tuesday 15 March at the latest.
If anything remains unclear about your presentations, or if you have an urgent update to share, please reach out to us.
